Admissions and Employment Office Launches 2026 Graduate Archive Materials Collection and Organization
The STU Admissions and Employment Office has issued a notice outlining the collection, organization, packaging, and mailing of 2026 graduate archive materials. All relevant units and colleges are required to complete the compilation and submission within the specified deadlines to ensure that graduate archive materials are complete, standardized, and filed on schedule.
Units submitting materials must simultaneously provide a paper transfer list (in duplicate) bearing the official seal, and send an electronic version of the transfer list to o_bys@stu.edu.cn with the email subject formatted as “XX Unit 2026 Graduate Archive Materials.”
Undergraduate Archive Schedule
Due to an increase in the number of graduates, starting with the 2026 cohort, each college is responsible for collecting and packaging archive materials for its own graduates. All 2026 undergraduate graduate archive materials (covering January, June, and July batches — no omissions permitted) must be submitted to the Admissions and Employment Office in Room 223, Administrative Center, by June 23.
Submitted materials must have the student’s ID number, name, and major clearly marked in pencil at the top left corner of each document, and all materials must be arranged strictly in order of student ID number. For transfer students, the original major and transferred major must also be noted. Each college must designate a responsible instructor to complete undergraduate archive packaging according to subsequent notifications and ensure proper sign-off.
Graduate Archive Schedule
2026 graduate archive materials will be centrally organized, compiled, and packaged by the Graduate School, strictly arranged by major and student ID number, and submitted to the Admissions and Employment Office by June 30. Archives of withdrawn or non-graduating students are not required to be submitted and shall be retained by the respective units.
Undergraduate Archive Materials Checklist
The standardized archive materials include:
- High school transcripts (provided by the Admissions and Employment Office; for transfers from the Medical College to other colleges, students must contact their Medical College advisor to transfer the high school transcript to the Admissions and Employment Office)
- STU academic transcripts (provided by the Academic Affairs Office and each college)
- College graduate health examination form (provided by the university hospital)
- College graduate registration form (provided by each college)
- Archive transfer notice (provided by the Admissions and Employment Office)
- Communist Youth League volunteer book (provided by the Youth League Committee)
- Communist Party of China member materials (formal members) (provided by the Organization Department and each college)
- National student loan contract (provided by the Student Affairs Office)
- Degree conferral decision (provided by the Academic Affairs Office)
Any additional materials to be included in graduate archives must be organized and submitted in accordance with the timelines specified in this notice to ensure completeness, standardization, and on-time filing.
